Vickerstock are working in partnership with a well-respected, community-rooted pharmacy based in Ballymena with the key appointment of an experienced Pharmacy Administrator to work closely with their Lead Pharmacist in coordinating high-volume pharmacy hub operations.

The opportunity.
This is not a routine administrative role - this is a pivotal operational position within a busy, high-performing community pharmacy. The successful candidate will play a central role in ensuring the safe, accurate, and timely supply of medication to community patients and care homes.

You will be the operational backbone of the pharmacy hub coordinating dispensing workflows, managing complex communications, and supporting the Lead Pharmacist to balance competing priorities in a fast-paced environment.

Your day to day:
Operational Coordination

  • Co-ordinate daily pharmacy hub operations, ensuring high-volume dispensing is delivered safely, accurately, and on time.
  • Support the Responsible Pharmacist in prioritising competing demands including care-home cycles, acute prescriptions, and community queries.
  • Maintain meticulous oversight of workflows to ensure service continuity during peak periods.

Care Home & Community Liaison

  • Act as primary liaison for care homes, community patients, GP surgeries, and healthcare professionals.
  • Manage large volumes of phone calls, emails, and correspondence, progressing urgent and routine requests efficiently.
  • Respond promptly and professionally to nursing and care staff enquiries, resolving prescription queries, missing items, and medication issues with empathy and clarity.
  • Coordinate new care-home admissions and compliance patients, ensuring accurate medication records and aligned supply schedules.
  • Manage medication changes, reconcile discharge summaries, and communicate updates to relevant stakeholders.

Stock & Supply Oversight

  • Oversee stock management for care-home and community patients.
  • Monitor shortages, source alternatives, and collaborate with the pharmacist to maintain uninterrupted supply.

Leadership & Team Support

  • Anticipate operational pressures and proactively delegate workload across the team.
  • Support inductions, training, and ongoing development of colleagues.
  • Contribute to building a confident, high-performing team culture grounded in accountability and excellence.


Who we are looking for
We are seeking an experienced administrator and natural team coordinator who brings strong transferable expertise into a pharmacy or healthcare environment.

  • Demonstrable experience within pharmacy, healthcare, care-home coordination, or high-volume administrative environments
  • Highly proficient user of IT software and systems
  • Exceptional communicator: clear, confident, and professional across all stakeholders; able to distil complex information into concise, actionable messaging.
  • High pace + accuracy: comfortable managing significant workload volume without compromising quality or detail.
  • Prioritisation mastery: strong judgement in balancing urgent and routine demands.
